Terms & Conditions

1. Payment Policy


In order to confirm the reservation (ie. guarantee our availability), a 50% non-refundable deposit must be paid immediately. The final 50% payment is due five (5) business days before the trip. In the event that the final payment is not delivered at such time, Boca Roja has the discretion to charge a 25% “late payment” penalty fee or cancel the trip, if necessary.

Each booking is will be subject to an additional charge which you will see on your final invoice (but not on your deposit invoice) labeled as "Taxes and Processing Fee."  Depending on the nature of your trip this total charge will be between 10% and 15% of the total trip cost.


We accept Corporate Checks, MasterCard, Visa, Discover and American Express. Regrettably, we cannot accept personal checks, cash or Venmo. Please make all corporate checks payable to Boca Roja, LLC.


If any of the details of the trip change (size of group, package features, etc), these changes must be mutually agreed upon between you and Boca Roja.   

Additionally, you agree that Boca Roja reserves the right to adjust the final payment amount to account for these changes at the discretion of Boca Roja.


2. Cancellation Policy


If for any reason, at any time you need to cancel your booking the 50% deposit will not be refunded.

Without Trip Cancellation Insurance if the trip is cancelled within 5 days of the travel date then the entire payment will not be refunded.

 

For this reason, we highly recommend our customers purchase Trip Cancellation
Insurance to protect themselves.  

Trip Cancellation Insurance ($20 per person) provides a 100% refund including deposit if your booking is cancelled earlier than 72 hours of the scheduled travel date. Cancellations within 72 hours of the trip will be refunded 50% but the deposit will not be returned and can be applied to a future booking.


If for any reason Boca Roja cancels the trip then your full payment will be returned immediately and you will receive priority in our bookings calendar to reschedule, if desired.

3. Boca Roja, LLC Vehicle Damage


Tour participants shall be responsible for the cost of repair for damage to the vehicle, and also for necessary cleaning of the vehicle resulting from excess of normal “wear and tear”. Examples include vomiting in or on the vehicle, spilling beverages or food, ripping seats, damaging the exterior or interior, and all other reasonable damage in excess of normal “wear and tear”. Boca Roja LLC reserves the right to facilitate payment for the reasonable cost of such repair and/or cleaning using the payment method you designated to the booking services upon reasonable discretion by Boca Roja, LLC.  In addition, the Client will be responsible for any rental fees and associated costs related to a company vehicle being taken out of service for excessive cleaning or damage repair.  

4. Release of Liability Waiver & Passport


Every tour participant must read and sign the Release of Liability waiver prior to the date of the tour. Boca Roja must send the waiver to each guest directly via DocuSign and all participants must read the waiver carefully and sign electronically. If a participant is unable to electronically sign the waiver, the participant may request a PDF file from Boca Roja of the waiver to print, sign, and
email back to Boca Roja.

 

It is the booking client’s responsibility at least (5) days prior to the date of tour to provide email contacts for all tour participants.  If the booking client fails to provide contact information for their group or participants fail to sign waivers prior to the date of the tour, Boca Roja, LLC reserves the right to cancel the trip and retain the non-refundable deposit at Boca Roja’s discretion. 

 

ALL RELEASE OF LIABILITY WAIVERS MUST BE SIGNED AT LEAST 3 DAYS PRIOR TO THE DATE OF TOUR.

5.  Vehicle types and offerings

Unless explicitly discussed otherwise, private tour groups with 6 people or less will be assigned a 6-passenger minivan or SUV for transportation.  Groups with 7 to 14 guests will be assigned a standard, low-roof 15 passenger van.  Clients have the opportunity to upgrade to different vehicle styles however these are subject to availability and need to be confirmed before the final payment is made (5 days before the trip).

If the Client has any special needs or considerations about the amount of space or seating configuration in these standard transportation options they should notify Boca Roja Management in writing in advance of the travel date.
